Privacy policy

ExternUp is an externship and clinical-rotation tracking service used by technical colleges. It is developed and operated by Dixie Technical College in St. George, Utah. The ExternUp app and website are provided to students by their school. Your school decides what is collected about your externship and controls that information; ExternUp processes it on the school's behalf.

This page covers ExternUp specifically. Dixie Technical College's general privacy policy also applies to the college's websites and services; where the two differ for ExternUp, this page is the more specific one.

What we collect

• Account details — your name, school email address, school and program, and the role your school assigned you.
• Location at clock-in and clock-out — when you clock in or out of a shift, the app records the time and your device's location at that moment so your school can confirm you were at the assigned site. Location is collected only while you are using the app, never in the background.
• Your externship record — your schedule, attendance (shift dates, times, hours, breaks, and whether a preceptor verified them), and evaluations completed by you or about you by your school's staff and the preceptors supervising you.
• Preceptor sign-off details — when a preceptor verifies a shift, ExternUp records who verified it and, for programs that require it, a photo of the preceptor's work badge taken at that moment, with its time and location, as evidence for your school.
• Preceptor details — for the professionals who supervise students, the school provides their name, work phone or email, professional license number and training dates. ExternUp uses them to deliver sign-off requests and evaluations and to keep the school's credential records.
• Support messages — what you send us through the support form or by email.

ExternUp does not use analytics or advertising cookies. The app keeps a sign-in session on your device, and staff accounts use one cookie that remembers a trusted device for the second sign-in factor. This website sets no cookies.

How it is used

To run your school's externship program: confirming attendance, tracking required hours, scheduling, collecting evaluations, and notifying you or your school about your progress. We do not sell personal information, do not show advertising, and do not use your information for advertising or for tracking you across other apps or websites.

Who can see it

Your school's authorized staff; the preceptors your school assigns to supervise you, limited to your shifts and evaluations at their site; and you. ExternUp staff access data only to operate and support the service. Education records are handled under the Family Educational Rights and Privacy Act (FERPA) as records maintained on behalf of your school.

Messages

ExternUp sends email and text messages only to run the program: invitations and password links to students and staff, and single-use sign-off or evaluation links to preceptors when a student or the school requests them. Preceptors receive a text only when a student sends them a shift to verify; there are no marketing messages.

Service providers

We use Supabase (sign-in and database hosting), Railway and Netlify (application and website hosting), and Twilio and email providers (delivering the messages your school sends through ExternUp). They process data only to provide those services to us.

Retention and your choices

Records are kept for as long as your school requires them for its program and accreditation records; your school decides retention and can correct or delete records on request. You can review your information in the app and ask your school to correct it. You may decline location permission on your device; the app will then not be able to clock you in.

Security

Data is encrypted in transit. Access is limited to signed-in users of your school with the appropriate role, and staff sign-ins require a second factor.

Children

The service is for students enrolled at participating colleges and is not directed to children under 13. We do not knowingly collect information from anyone under 13.
